ORDER TO CASH · COLLECT
What happens after the invoice?
The invoice becomes a customer open item. Order to Cash finishes only when incoming value is identified, posted, matched, and any difference is resolved with evidence.
PROCESS ROLE
Cash receipt and invoice clearing are related but distinct
A bank receipt proves money arrived. Clearing proves which receivable the money settles. SAP supports exact matches as well as partial payments, residual items, deductions, on-account cash, tolerances, disputes, and later reprocessing.
OPERATIONAL FLOW
What happens in SAP
Read the sequence as one connected business event, not as isolated transactions.
Capture incoming value
Bank statements, lockbox files, payment advice, interfaces, or manual entry provide amount, date, currency, payer, and reference information.
Find the customer and purpose
Matching uses account, invoice reference, amount, assignment, structured remittance, and configurable interpretation rules.
Record the cash
The posting updates bank or bank-clearing accounts and credits the customer, either against invoices or temporarily on account.
Resolve the receivable
Exact items clear; differences become approved write-offs, residual or partial items, deductions, disputes, or work queues.
DESIGN & CONTROL
What shapes the result
These controls work together; a locally correct setting can still produce the wrong end-to-end outcome.
Matching discipline
Interpretation algorithms, search rules, account identification, references, and remittance data should automate safe matches without hiding ambiguity.
Difference governance
Tolerance groups, reason codes, write-off limits, residual-item rules, dispute routing, and authorization determine how shortages are handled.
Bank reconciliation
House bank setup, posting rules, value dates, clearing accounts, statement completeness, and reconciliation ownership connect subledger and cash.
DIAGNOSTIC EVIDENCE
Follow the money without losing the customer story
The bank balance, customer account, clearing document, and unresolved work queue must reconcile to one another.
Statement line, external transaction, value date, amount, currency, posting rule, and bank-clearing account status.
Payment document, matched invoices, clearing date and document, residual or partial items, and remaining balance.
Reason code, tolerance decision, dispute case, owner, promised action, aging effect, and approval trail.
PROJECT MOMENT
One payment settles three invoices—with a deduction
A transfer references three invoices but deducts a freight claim. SAP clears the exact value, records the approved difference as a residual or dispute item, and keeps the customer and bank balances traceable.
- Statement line is accounted
- Invoices are matched
- Difference has an owner
- Customer balance reconciles
