A2R 404 · ASSET ACCOUNTING WORKBENCH
Acquire to Retire Configuration Workbench
Turn the approved asset-lifecycle design into governed organization data, asset records, accounting rules, integration, roles, jobs, and reconciled evidence.
Record the SAP edition, release, activated scope, localization, and user experience. A setting is complete only when its dependency, owner, positive proof, failure case, reversal, and reconciliation are known.
FOUNDATION
Establish accounting and asset ownership
Align company code, chart of depreciation, fiscal year, currencies, ledgers, Asset Accounting integration, plants, cost and profit centers, and responsible roles.
Decide and record
- Define the legal entities, ledgers, currencies, and accounting principles represented by each depreciation area.
- Confirm capitalization policy, asset ownership, and the relationship between financial assets and equipment or functional locations.
- Assign a business owner, configuration owner, transport boundary, and test reference to every decision.
Reporting dimensions, period control, or ownership need manual repair after posting.
ASSET MODEL
Control classes, masters, and value categories
Configure asset classes, number ranges, account determination, capitalization thresholds, useful-life defaults, asset-under-construction treatment, and master-data governance.
Prove the asset model
- Map each asset type to a class, balance-sheet account, depreciation rule, owner, and retirement treatment.
- Test mandatory fields, valid and invalid class combinations, thresholds, sub-assets, and AuC settlement.
- Document controls for change, blocking, transfer, and retirement of master data.
Asset value reaches a clearing account, incorrect class, or ungoverned master record.
ACQUIRE & CAPITALIZE
Connect procurement and direct posting
Design direct acquisition, purchase-order account assignment, goods receipt, invoice receipt, credit, return, asset clearing, settlement, tax, currency, and closed-period behavior.
Trace both entry paths
- Map source document, approval, posting, clearing, asset value date, and accounting evidence for direct and procurement acquisition.
- Test partial receipt, invoice before receipt, price variance, cancellation, credit memo, and mixed capital-versus-expense value.
- Reconcile purchase documents, FI documents, asset explorer, and general ledger.
The asset value is correct only after a manual journal or clearing remains unexplained.
VALUE & PERIOD END
Calculate, post, and reconcile depreciation
Configure depreciation keys, methods, useful lives, multi-area rules, posting cycles, simulation, planned depreciation, unplanned depreciation, and reporting.
Test the close sequence
- Prove capitalization date, useful-life change, transfer, impairment indicator, partial retirement, and late correction.
- Run simulation and posting with owned job variants, monitoring, error recovery, and reversal procedures.
- Reconcile planned and posted depreciation, accumulated depreciation, net book value, and the general ledger by area.
Depreciation needs manual postings, unexplained variances, or unowned background-job recovery.
OPERATE & RETIRE
Preserve the connection to the physical asset
Define equipment and functional-location linkage, transfer evidence, maintenance-cost treatment, sale, scrapping, partial retirement, gain/loss accounts, custody, and audit retention.
Prove lifecycle exceptions
- Test asset transfer, sale with customer proceeds, scrapping, partial retirement, replacement, and retirement reversal.
- Agree the handoff rule between Finance, Operations, Procurement, and maintenance teams.
- Test roles, approvals, document retention, reporting, and reconciliation after each lifecycle event.
A retired asset remains active in one view or a physical asset loses accountable ownership.
Use the workbench during discovery, build, migration, cutover, first close, and stabilization.
